The Challenge
- In the construction industry, Field Work Orders often originate from the jobsite—typically requested by a Superintendent, a General Contractor, or even the property owner. These work orders can range from minor scope changes to major additions and are eventually converted into Change Orders for approval or denial by the client.
- The challenge lies in tracking and billing these requests efficiently. Many construction companies still rely on outdated tools like Excel spreadsheets and Word documents, which are not designed for collaborative workflows. When multiple stakeholders are involved in gathering information to process and bill a work order, delays and inefficiencies are inevitable.
- Additionally, when multiple trades are working on a project, getting paid for completed work becomes difficult without clear documentation or proof that the work was requested and approved.
The Solution
- We were tasked with building a cloud-based Field Work Order Management System, while also integrating Resource and Labor Forecasting into a unified job management platform.
- To streamline operations, we developed a web-based form that allows Foremen and Superintendents to submit Field Work Orders directly from the jobsite. The form included a digital signature field, enabling them to capture client approval on the spot as documented proof of the request.
- An added benefit of the system was its dual-purpose functionality: the same form also served as a structured way for field staff to request additional labor hours. Since Foremen are evaluated on whether their jobs stay under budget, this form became a gateway for the Project Management team to review, approve, or deny those requests in real time. For each submission, they could decide whether to initiate a Change Order or absorb the cost, all while maintaining a clear financial record for future meetings with directors.
Results & Growth
- The initial scope of work took approximately 3–4 weeks, during which we configured the web form and integrated it into the company’s primary management views.
- The Field Work Order Management System eliminated the risk of scope creep being overlooked and gave the Project Management team the visibility they needed to properly generate and manage Change Orders for billing purposes. This significantly improved their ability to coordinate and support field teams company-wide.
- Since its launch, the system has continued to evolve. Today, approved hours submitted through Field Work Orders play a vital role in labor forecasting and help accurately project hours remaining until job completion.
